1 Agreement Acceptance

By renting a vehicle from Airport Cars, you ("Renter") enter into a legally binding agreement with Airport Cars ("Company", "we", "us", or "our"). This agreement includes these Terms and Conditions, the Rental Agreement, and any additional policies we may communicate to you.

• You must read and understand all terms before signing the rental agreement
• Your signature on the rental agreement confirms your acceptance of these terms
• Online bookings are subject to these terms and final confirmation
• We reserve the right to update these terms at any time

2 Rental Requirements

2.1 Driver Qualifications

To rent a vehicle from Airport Cars, you must meet the following requirements:

• Be at least 21 years of age (25 years for luxury and premium vehicles)
• Hold a valid driver`s license for at least 2 years
• Present a valid international driver`s license (for foreign nationals)
• Provide a valid passport or national ID
• Have a valid credit card in your name

2.2 Required Documents

At the time of rental, you must present the following documents:

1. Valid driver`s license (original)
2. International driving permit (if applicable)
3. Valid passport or national ID
4. Credit card for security deposit
5. Proof of address (utility bill or bank statement)

3 Vehicle Use & Care

3.1 Permitted Use

The rented vehicle may only be used for:

• Personal or business transportation on paved roads
• Travel within Sri Lanka (cross-border travel is prohibited)
• Lawful purposes in accordance with Sri Lankan traffic laws

3.2 Prohibited Uses

You must NOT use the vehicle for:

• Racing, speed testing, or any competitive driving
• Transportation of illegal goods or substances
• Off-road driving or unpaved roads
• Towing or pushing any vehicle or trailer
• Carrying passengers or cargo for hire
• Subletting or re-renting to any third party
• Teaching someone to drive
• Under the influence of alcohol or drugs

3.3 Vehicle Care

You are responsible for:

• Keeping the vehicle clean and in good condition
• Checking and maintaining proper oil and fluid levels
• Protecting the vehicle from theft and damage
• Parking the vehicle in safe, legal locations
• Reporting any mechanical issues immediately

4 Payment Terms

4.1 Rental Charges

The total rental cost includes:

• Daily or weekly rental rate
• Applicable taxes and fees
• Optional extras (GPS, child seats, additional driver, etc.)
• Insurance coverage (as selected)

4.2 Security Deposit

A refundable security deposit is required and will be:

• Blocked on your credit card at pickup
• Held until vehicle return and inspection
• Released within 7-14 business days if no damages
• Used to cover damages, fines, or outstanding charges

4.3 Payment Methods

We accept the following payment methods:

• Credit Cards (Visa, Mastercard, American Express)
• Debit Cards (with sufficient hold limit)
• Bank Transfer (advance bookings only)
• Cash (for Sri Lankan residents only)

5 Insurance Coverage

All vehicles are covered by comprehensive insurance, which includes third-party liability. However, certain excess charges may apply in case of accidents or damages.

5.1 Standard Coverage Includes

• Third-party liability insurance
• Collision Damage Waiver (CDW) with excess
• Theft protection with excess
• Basic roadside assistance

5.2 Optional Coverage

• Super CDW - Reduces excess to zero
• Personal Accident Insurance (PAI)
• Windscreen and tire protection

5.3 Insurance Exclusions

Insurance does NOT cover:

• Damages caused by reckless or illegal driving
• Driving under influence of alcohol or drugs
• Unauthorized drivers
• Damage to tires, wheels, or undercarriage
• Interior damage or upholstery stains
• Loss of keys or documents

6 Fuel Policy

Our standard fuel policy is "Full to Full" - the vehicle will be provided with a full tank of fuel and should be returned with a full tank.

• The vehicle is provided with a full tank
• You must return the vehicle with a full tank
• If returned without a full tank, a refueling charge + service fee will apply
• Keep fuel receipts from the last 50km before return

7 Damage & Liability

7.1 Vehicle Inspection

At pickup and return, we conduct a thorough vehicle inspection. You should:

• Inspect the vehicle carefully before accepting
• Report any existing damage immediately
• Take photos/videos for your records
• Ensure all damage is documented in the rental agreement

7.2 Accident Procedure

In case of an accident, you must:

1. Stop immediately and secure the scene
2. Call emergency services (119) if injuries occur
3. Contact Airport Cars immediately (24/7 hotline)
4. Obtain police report for insurance purposes
5. Exchange details with other parties involved
6. Do NOT admit fault or liability
7. Take photos of all damages and scene

7.3 Liability Limits

Your financial liability for damages is limited to:

• The excess amount stated in your rental agreement
• Full cost if insurance is voided due to prohibited use
• Traffic fines and parking tickets
• Loss of rental income during repairs

8 Cancellation Policy

8.1 Cancellation by Renter

• More than 7 days before pickup: Full refund minus 10% processing fee
• 3-7 days before pickup: 50% refund
• Less than 3 days before pickup: No refund
• No-show: No refund, full charges apply

8.2 Modifications

Rental modifications (dates, vehicle changes) are subject to availability and may incur additional charges. Contact us at least 48 hours before pickup for modifications.

8.3 Cancellation by Company

We reserve the right to cancel your reservation in cases of:

• Vehicle unavailability due to unforeseen circumstances
• Failure to meet rental requirements
• Providing false information
• Safety concerns

In such cases, we will provide a full refund or offer an alternative vehicle of similar class.

9 Late Returns & Extensions

9.1 Late Return Charges

• Grace period: 30 minutes at no charge
• 1-3 hours late: 50% of daily rate
• More than 3 hours late: Full day charge
• Unauthorized extension: Double daily rate + penalties

9.2 Rental Extensions

If you need to extend your rental period:

• Contact us at least 24 hours before return time
• Extension is subject to vehicle availability
• Additional charges will be calculated at current rates
• Payment for extension must be made in advance

10 Privacy & Data Protection

We are committed to protecting your personal information. By renting from us, you consent to:

• Collection of personal and payment information
• Processing data for rental purposes
• Sharing information with insurance providers when necessary
• Retaining records as required by law

11 Additional Terms

11.1 Traffic Violations

You are responsible for all traffic violations, parking fines, and toll charges incurred during the rental period. These will be charged to your credit card plus an administrative fee.

11.2 Roadside Assistance

24/7 roadside assistance is included. Contact our emergency hotline immediately if:

• Vehicle breaks down
• You have a flat tire or mechanical issue
• Keys are locked inside the vehicle
• You run out of fuel (charges may apply)

11.3 Force Majeure

Neither party shall be liable for failure to perform obligations due to events beyond reasonable control, including natural disasters, war, strikes, or government restrictions.

11.4 Governing Law

These terms are governed by the laws of Sri Lanka. Any disputes shall be resolved in courts located in Colombo, Sri Lanka.
